Nepal Holiday Treks & Tours is a registered Company under the laws of Nepal. We accept your bookings under the following terms and conditions.
1. DOWN-PAYMENT
We accept payments by the Western Union, bank transfer (see bank details below) as well as VISA or MASTER credit cards or cash (either American dollars or Euro)
30 % advance payment is required to make a booking.

2. PAYMENT TERMS
The final payment of outstanding balance (total cost of the tour – advance payment) needs to be made eight weeks prior to departure date of your tour. If you choose to pay your balance by credit card, a service fee of 5 % on the outstanding balance is applicable. In the case of paying via the Western Union or bank transfer, the corresponding Western Union or bank fees apply.
3. LAST-MINUTE BOOKINGS
We accept last-minute (up to 48 hours before the tour) booking, on the condition of 100% advance payment and this shall be applied only for tours/trips within Nepal. For tours/trips to Bhutan and Tibet, latest bookings can be made at least seven days prior to the beginning of the tour.
4. PAYMENT REFUND
No refund will be made for 30% of deposited amount in case of cancellation of trip for any reason.
Having paid the full charge for a tour with us, you’re entitled to the refund in case if you want to cancel your tour. However, cancellations are applicable when these mentioned conditions are met from your side: Written notification of your cancellation must be sent to us soonest possible in order to cancel an already-booked tour. Cancellation should be made 48 hours before departure and 40 % cancellation charge is approved besides tax, transportation and permits.
If Nepal Holiday Treks & Tours cancel your trip due to unforeseen circumstances like war, natural disasters, conflict, unfavourable climate etc., we would be happy to refer you to an alternative trip of similar type. Even if this doesn’t fit your interest, plans or schedule, all money paid by you to our company will be refunded. However, any other expenses incurred by you as a result of this booking are entirely your responsibility and will not be reimbursed by us.
5. INCOMPLETE TOUR
Refund will be effectuated as per the clause 4. No refund will be made to clients who drop out from the tour regardless of the amount of the payment remaining “unused” in the tour itinerary.
6. TOUR AND COST AMENDMENT
We reserve the right to revise pricing rates posted on our website or social media profiles, under any circumstances, and conditioned by various external factors that are out of our control, such as foreign exchange rate changes, weather condition changes, etc.
To make any alterations to any of already booked trek/tour/climbing itinerary, prior notice is requested. You’re advised to communicate with us regularly prior to your planned tour.
7. CLIENT RESPONSIBILITIES
A tour/trek/climbing guide representing Nepal Holiday Treks & Tours accompanies each of our clients or groups and is, by nature of his/her experience and skills, the authority during all our tours.
If a client or a group commit any unlawful act or deviate from advice of your guide, thus putting the other members of the group or him/herself into a dangerous/uncertain situation, our company reserves the right to ask this client to quit the tour with immediate effect. No refund will be made in such a case.
8. TRAVEL INSURANCE
You are strongly advised to purchase a comprehensive travel/medical insurance package covering incidents, natural calamity/disaster, helicopter evacuation, personal accidents, trip cancellation, etc. prior to the commencement of your tour. This is duly recommended to all our clients.
9. YOUR PERSONAL BELONGINGS
We, our guide and hired porters, are not responsible for any loss, damage or theft of your luggage or property belonging to you during the tour. We highly recommend that you use secure storage of your guesthouse/hotel for things you will be leaving behind during the tour and only take a minimal number of things/equipment necessary for the tour. During the tour, it is your responsibility to take care of your personal belongings.
10. PAPERS AND DOCUMENTS
All clients must have a valid passport with at least 6 months validity from return date. Nepalese visas can be obtained from the Nepalese embassies, consulates or diplomatic agencies in your country or in the region where your country is or upon arrival at Kathmandu Airport. Nepalese visa costs are incurred by clients.
All necessary documents (including visas, permits, insurances, etc.) must be presented to corresponding authorities and to us prior to your tour. Our specialists will take care of obtaining your tour/climbing permits. We are not accountable or responsible in case of any trip formality is not complete in due time before the beginning of the tour.
11. RISK AND RESPONSIBILITY
Your safety and enjoyment are our prime concern and occupation. We strive to make each and every client’s experience unforgettable, pleasant and problem-free. However, unless stated otherwise, a tour may be altered, postponed or cancelled under certain circumstances due to weather conditions (excessive snow, hail, fog, rain, landslides, etc), political instability or in the case of flight cancellation, delayed arrival, etc. Any additional cost incurred due to such events not in our control is the sole responsibility and charge of our clients.
12. FLIGHT DELAY/CANCELLATION
There is always a possibility of the flight delay or postponement for the notorious weather in the Himalayas, which could happen, in particular, in Everest National Park region ( the main city is Lukla), Jomsom, Dolpa, Simikot and Jumla region etc. For trekking in remote areas, especially during off-season period (April-October), you’re highly advised to reserve extra day’s potential flight and other delays and avoid subsequent frustration. In the case of flight cancellation prior to or after your tour completion, you need to cover your accommodation and food expenses by yourself.
13. COMPLAINTS AND PROBLEMS
If you have any complaints, issues or potential problems about the tour, you must make it known to a tour leader or guide at the earliest opportunity who will take the appropriate action or to the company representative at our office.
