Terms and conditions of Nepal Holiday Treks and Tours Pvt. Ltd. Company Policy!

Booking a Trip

The term “Trip” stated in this website and booking terms and conditions is a representative form of any product itinerary or activities described on this website to buy or deal with us, including those which might otherwise be recognized as trekking, walking, hiking, climbing, sightseeing, mountaineering, tours, expeditions, as well as other adventure tour programs.

Conformation of email is officially the fastest way and an indication of your trip booking is accepted by the company after your booking proceeds are reviewed. From this date, you are ensured to become your trip definite.

2) Contract Formation

The contract comes into existence after accepting reservation details from Nepal Holiday Treks and Tours Pvt. Ltd.
In fact, it is a condition in which both the parties; the company and the clients enter into a contract for its existence.
Prior to any booking conformation, a contract comes into force, in other words, the company reserves the right in increasing and decreasing of listed brochure price.

Please be advised, in summary, that company would be a disclaimer of any warranty, collateral agreement, prior agreement, description of services, or conditions, other than or expressed herein.

3) Deposit Requirement

Nepal trip confirmation payment

To secure the place and process the confirmation of your booking for the Nepal trip, a non refundable 20% down payment of the total trip cost is required to make in advance, deposit to the company within two week’s time from the date of inquiry in accordance with the company policy as a per-person basis. It is proof that you are intending to plan a trip. We need generally advance payments on your behalf for fixing prior arrangements for hotel reservations, flight tickets, transportation tickets, permits TIMS card, etc. your service arrangements are managed as quickly as after preceding the fund. The booking deposit is acceptable both through the bank transfer and credit card (visa or master card). The company does email for additional information regarding the direct money deposit details while proceeding with the booking.

 Nepal trip final payment

The remaining 80% balance payment for trekking, tours, climbing, expedition, or any kind of trip can generally be made upon your arrival in Nepal prior to the initial departure date of any trip. The final trip documentation will be issued after full payment. You can make your payment by bank transfer, travel check, cash, or credit card. The surcharge of 4% will be added while making your payment (applicable for withdrawal and deposit with the objective of trip extension, final balances as well as miscellaneous purchase). The surcharge is imposed by the credit card payment service provider, (the payment is received through Himalayan Bank Limited, our credit card payment service provider).

 Tibet /Bhutan/India Trips

For Tibet, India, and Bhutan trips, 100% payments are required within a month before starting any trip.

All payment can be made in foreign currency that is accepted by the Nepal government. We accept the following:

 Payment by credit card using our website

After your arrival in Kathmandu, you can pay through your card in our office. If you choose to use your credit card for the payment then do not that there will be 4% bank commission charge for card processing fees.

NOTE: Please do not transfer your amount to another bank other than the above- mentioned details. Even in case, you receive an email that requests you to transfer to any other bank account. Please immediately contact us!!

5) Last-Minute Booking

We, Nepal Holiday Treks and Tours Pvt. Ltd. accept your last-minute booking only in the case of Nepal trips. But last-minute booking will not be acceptable for India, Bhutan, and Tibet trips.

6) Refund/ Trip Cancellation

No refund will be made for a 20% deposit amount in case of cancellation of the trip for any other else reason but we are flexible to postpone your trip in any later days. Having paid the full amount of any trip, you will get your money back but still, the cancellation charge 20% is invoiced to you. Written notification of your cancellation should be made to cancel any trip.

7) Supplement charge

On your holiday tour/ tour packages, rooms are provided on a twin- sharing basis. Thus, a single room supplement charge will be imposed on client who does not have another tour participant to share a room with.

8) Incomplete Tour

No refund will be made to the client who drops out from the journey regardless of whatever portion remain unused in the journey.

9) Unforeseen Circumstances

If Nepal Holiday Treks and Tours Pvt. Ltd. cancel your trip because of unforeseen circumstances like war, natural disasters, conflict, unfavorable climate, etc. we will be happy to refer you alternative trip of a similar standard. Even if this doesn’t fit your personal interest, all money paid by you to our company will be refunded. But remember, any other expenses incurred by you as a result of this booking are entirely your responsibility.

10) Client’s Responsible

A tour / trek guide who represents Nepal Holiday Treks and Tours Pvt. Ltd. deserves all authority during your tour.

11) Travel Insurance

You must purchase a comprehensive travel insurance against medical, natural calamity, helicopter evacuation, personal accident, trip cancelation, etc. this is strongly suggested for all our clients.

12) Travel Amendment

The trip amendment is an obligatory condition in which the trip itinerary should be changed because of undesirable circumstances that appeared at the time of trip commencement. The factors beyond our control make hindrance to operate trips such as weather conditions, landslides, etc. In such case; the clients are advised on time by the company. 

If the clients want to amend the trip because of their own personal reasons, you should send a trip amendment notification to the company in writing. Then the company will make the necessary amendment. The following fee structure will apply for the amendment of the trp.

Booking amendment requests made by clients 30 days or more prior to your original trip departure- $50.00 USD per person.

Booking amendment requests made by clients less than 30 days after your original trip departure- charges as per cancellation fees.

For making amendment within 10 days of the trip departure, the cost of the amendment may be higher depending upon the company’s arrangements with other parties such as airlines, hotels, guest houses, or operators of various activities.

Please note that the new trip price will apply to the reservation for booking amendment from the time of the original booking to the time of the amendment in the case of any trip price change. Likewise, these fees depend on any charge imposed by the hotels, and other suppliers to the company.

13) Paper and Documents

All necessary documents should be presented in sequence for example to issue visa, necessary permits, etc. We’re not accountable in case of any trip formality not being completed in time before the trip departs in the absence of essential papers and documents.

14) Flight delay / Cancellation

There is virtually the possibility of flight delay or postponement for notorious weather in the Himalayan regions which could be happened, in particular, in the Everest region (Lukla), Jomsom, Dolpa, Simikot, and Jumla region, etc. in such a case, your itinerary will be modified. However, in case of delay return flights, the client is responsible to bear all other additional expenses including food and accommodation.

Also, if you wish to make alternative, arrangements, such as a Helicopter flight to avoid flight delays, all additional costs would be your responsibility. Additionally, we do not accept any responsibility costs incurred as a result of a missed international flight but would assist to make alternative arrangements wherever possible. Please note that while on the field, you may have to make some changes to the itinerary due to unforeseen circumstances.

15) Social Responsibility

We, Nepal Holiday Treks and Tours Pvt. Ltd. in Nepal mission to finance its community enhancement programs through the revenues generated by tourism. The proceeds from any organized tour and trek go 10% directly to uplift the educational status of needy children in rural areas of Nepal through Nepal holiday helping foundations.
